Who we are
SHADOWORKS LTD, International House, 61 Mosley Street, Manchester, M2 3HZ, is responsible for your details. Contact us about your details at hello@shadoworks.co.
What we collect, and why
- Your name and email address, from your Google or Microsoft sign-in or typed in by you, to register you and to send you your video.
- Your confirmations that you are 18 or over and fit and able to play, so we run a safe adults-only event.
- Your consent to being filmed while you play and to receiving your video by email.
- Your optional age range and gender, only for anonymous event statistics. You can leave these blank.
- The date and time you registered, and, if you sign in with Google or Microsoft, which of the two you used.
- Whether you used the QR code or the web address, so we can see which works best.
- Only if you tick the marketing box: your agreement to hear by email about future events and offers from us and from the event client (the brand running this event).
- A follow-up survey: we may email you once after the event, asking about your experience.
Our legal basis
- Your consent, for filming, for sending your video and for marketing (including sharing your name and email with the event client for that). These are separate: you can agree to the video and refuse marketing. You can withdraw consent at any time.
- Our legitimate interest in registering you and running the event, for your name, email and registration details, and in running a safe adults-only event, for the age and fitness confirmations, and in asking how your experience was, for the follow-up survey. You can opt out of the survey in the email.
How long we keep it
- Your name, email and consents are deleted 90 days after the event.
- If you ticked the marketing box, we and the event client keep your name and email until you unsubscribe or withdraw consent.
- You can unsubscribe from marketing at any time using the link in any marketing email, or by emailing us; we then delete your name and email.
- Our database backups may hold deleted details for up to 30 days.
- Anonymous statistics (counts and the optional age range and gender, with no name or email) may be kept for 12 months.
Who handles your details
We do not sell your details. We share your name and email with the event client only if you tick the marketing box, and you can leave it unticked and still play. The event client uses your details only to contact you about its own events and offers. Our website and database are provided by Cloudflare and kept in Europe. Your sign-in is handled by Google or Microsoft, who tell us only your name and email. Your video is processed and emailed to you by service providers acting on our instructions.
Cookies
If you sign in with Google or Microsoft we set one short-lived cookie that keeps you signed in while you register. It is strictly necessary, so it needs no consent. We use no advertising or tracking cookies.
Your rights
You can ask to see, correct or delete your details, object to how we use them, or withdraw consent, at any time by emailing hello@shadoworks.co. You do not have to give us your details, but you cannot play without registering. You can also complain to the Information Commissioner's Office at ico.org.uk.
